Frequently asked questions

Do you store patient data?
No. Patient identifiers (MRN, DOB) are AES-256 encrypted in-memory for up to 72 hours and permanently deleted after transfer. They are never written to our database.
Is a HIPAA BAA included?
Yes — a Business Associate Agreement is included on every plan at no extra charge. We'll countersign and return it within one business day.
How does billing work? Do you accept purchase orders?
Yes. We support Net 30 invoicing with a PO number, ACH bank transfer, wire transfer, and credit card. Annual plans are invoiced upfront. Monthly plans can be invoiced or charged to a card or P-card.
What counts as a 'study transferred'?
One record exchange transaction — e.g. a single patient's radiology images or document set sent to a requesting facility. Bulk transfers of one patient's prior studies count as one.
What happens if we exceed our monthly limit?
We notify you proactively before you hit your cap. We won't surprise-cut off service — we'll work with you to upgrade or handle the overage.
Can we try it before committing?
Yes. We offer a 30-day pilot on the Starter plan at no cost for qualified facilities. Email sales@healthxfer.com.
What EHR and PACS systems do you integrate with?
We support DICOMweb, DIMSE (C-FIND/C-MOVE), and HL7 FHIR R4. Epic, Cerner, Merge PACS, Visage, and Ambra are all supported. New adapters can be added on request.
